Live Music - FAQ
Booking any musician from our roster starts with a consultation where we discuss your event date, venue, timeline, and musical vision. We check the musician's availability for your specific date and provide pricing based on performance duration, travel requirements, and any special requests like custom song learning.
Once you're ready to move forward, we handle all contracts, coordination, and logistics; you never need to communicate directly with musicians unless you prefer to discuss specific song selections. We manage payment processing, technical requirements, and day-of-event coordination so everything runs smoothly. Your booking includes the musician's performance fee, professional sound equipment appropriate for your venue size, setup, and breakdown, and our full event coordination services.
Most musicians can perform multiple event segments on the same day, which is often more cost-effective than booking separate acts. A string quartet or jazz duo might play your ceremony processional and recessional, then transition to cocktail hour repertoire while guests enjoy drinks and appetizers.
Solo musicians easily handle 2-3 hour performance blocks spanning ceremony through cocktails. The advantage of using one act across multiple segments is musical cohesion; the same beautiful sound carries throughout the early part of your celebration. We coordinate timing, breaks, and repertoire shifts so transitions feel natural.
If you prefer different musical styles for different moments (classical strings for ceremony, then upbeat acoustic guitar for cocktails), we can coordinate multiple acts with seamless technical transitions. During consultation, we discuss your timeline and help you decide whether one act across segments or multiple specialized acts better serves your vision.
Each musician's profile highlights their specialty areas, whether that's classical ceremony repertoire, jazz standards, contemporary pop covers, Latin and world music, or genre-blending performance. During your consultation, we provide detailed repertoire lists showing the hundreds of songs each act can perform across different genres and decades. Most musicians maintain extensive repertoires spanning classical, jazz, pop, rock, R&B, country, and cultural traditional music, allowing them to adapt to diverse guest demographics and your personal preferences. If you have a "must-play" list, we confirm which songs are in the musician's current repertoire versus which would need to be learned specifically for your event (given adequate notice). We can also coordinate medleys or custom arrangements that blend multiple songs together, creating unique moments specific to your celebration. The goal is matching musical style to event atmosphere, elegant and understated during the ceremony, more upbeat during cocktails, culturally specific if you're incorporating traditional elements.
For intimate indoor ceremonies with 50-75 guests, a single wireless microphone and small monitor speaker might be sufficient.
For outdoor ceremonies or larger receptions, we suggest full PA systems with multiple speakers positioned for even sound distribution. String instruments, acoustic guitars, and wind instruments are always amplified, even though they're acoustic instruments; guests beyond the first few rows won't hear them clearly without amplification, especially outdoors. We handle all sound setup, testing, and adjustment before your event begins.
Musicians monitor their own sound levels during performance, making real-time adjustments for different event phases (quieter during dinner, fuller sound during cocktails). If your venue has in-house sound systems, we coordinate with venue technical staff to determine whether we use their equipment or bring our own based on quality and compatibility. You never need to think about volume levels, speaker placement, or whether grandma in the back row can hear the ceremony music, we manage every technical detail.
Once you've selected a musician, we guide you through a straightforward planning process. First, we confirm date availability and provide transparent pricing based on your event specifics. After you book, we schedule a planning consultation (usually 4-6 weeks before your event) where we discuss song selections, special requests, timeline coordination, and any cultural or religious traditions we should incorporate. You provide your ceremony processional songs, cocktail hour vibe preferences, and any "must-play" or "definitely don't play" guidance. We handle all coordination with your wedding planner or venue regarding technical requirements, load-in timing, and performance logistics. About two weeks before your event, we confirm all final details and special requests. On your wedding day, the musician arrives early for setup and soundcheck, performs beautifully, and handles breakdown after the performance concludes. Throughout the process, you have a dedicated Second Song coordinator managing communication so you're never juggling emails with multiple vendors.
Our pricing is transparent and comprehensive. Your initial quote includes the musician's performance fee, professional sound equipment, setup and breakdown, and our full event coordination services. Additional fees may apply for: travel to destinations outside our primary service areas (calculated based on distance and overnight accommodations if required), overtime if your event runs significantly longer than the booked performance hours. We discuss any potential additional fees upfront during your consultation so there are never any surprise costs. Most events don't incur additional fees beyond the base quote; our pricing is designed to be all-inclusive for standard wedding timelines and logistics. If your event has unique requirements, we identify those during initial planning and provide complete cost transparency before you commit to booking.
Yes, and this is one of the most rewarding parts of live music—personalizing the repertoire to your story and preferences. Most musicians can learn new songs with 4-6 weeks' advance notice, allowing you to feature meaningful songs that might not be in their standard repertoire. We provide guidance on which songs translate well to specific instruments (some songs work beautifully as string quartet arrangements, others are better suited for acoustic guitar or jazz trio interpretation).
You can provide a custom song request or give general genre guidance and trust the musician's expertise to read the room and adapt. Many couples create detailed ceremony music plans (specific processional songs) but allow musicians freedom during cocktail hour to play crowd-pleasing repertoire they know works well. We've coordinated everything from classical ceremony programs with specific Baroque pieces to cocktail hours featuring all John Mayer covers to receptions with full Bollywood and Bhangra setlists. If you have cultural traditional music requirements, we match you with musicians experienced in those specific styles.
